Bulk Create Workflow Instances (Project) (Public)

bulk_create_workflow_instances_project_public

Asynchronously create multiple workflow instances for project-level items. Use the returned operation ID to monitor status and manage partial failures.

Instructions

Asynchronously bulk create workflow instances for a list of project-level items. If an active instance already exists for an item, a failure will be returned for that item. The returned async operation id can be used to query for status using the GET /rest/v2.0/companies/{company_id}/async_operations/{operation_id} API. The result field of the operation contains a list of completed and failed i... Use this to create many Workflows records in a single request. Creates many Workflows records in one request and returns the created collection (HTTP 201). Partial failures may occur — check each item's status. Required parameters: company_id, project_id, tool_type, items. Procore API (v2.0): Core > Workflows. Endpoint: POST /rest/v2.0/companies/{company_id}/projects/{project_id}/workflows/instances/bulk_create

Input Schema

TableJSON Schema
NameRequiredDescriptionDefault
company_idYesURL path parameter — unique identifier for the company.
project_idYesURL path parameter — unique identifier for the project.
tool_typeYesJSON request body field — tool that instances are being created for.
tool_subtypeNoJSON request body field — tool sub-type. Only required for specific tools.
itemsYesJSON request body field — list of objects to create workflow instances for.
Behavior5/5

Does the description disclose side effects, auth requirements, rate limits, or destructive behavior?

Beyond annotations (which indicate a non-read-only, non-destructive, non-idempotent operation), the description adds critical behavioral details: asynchronous execution, partial failure handling, condition on existing instances, and a link to query operation status. This fully compensates for the lack of annotation detail.

Agents need to know what a tool does to the world before calling it. Descriptions should go beyond structured annotations to explain consequences.

Conciseness4/5

Is the description appropriately sized, front-loaded, and free of redundancy?

The description is front-loaded with key information (async, partial failures, required params), but includes a truncated sentence ('The result field of the operation contains a list of completed and failed i...') which is a minor completeness issue. Overall, it is relatively concise for the complexity.

Shorter descriptions cost fewer tokens and are easier for agents to parse. Every sentence should earn its place.

Completeness3/5

Given the tool's complexity, does the description cover enough for an agent to succeed on first attempt?

The description covers the main aspects: purpose, async behavior, partial failures, required params, and endpoint link. However, it lacks a complete explanation of the return value due to truncation, and does not detail the expected structure of the 'items' array beyond being a list of objects. Given no output schema, more completeness would be beneficial.

Complex tools with many parameters or behaviors need more documentation. Simple tools need less. This dimension scales expectations accordingly.

Parameters3/5

Does the description clarify parameter syntax, constraints, interactions, or defaults beyond what the schema provides?

The input schema has 100% coverage with clear parameter descriptions. The description lists required parameters and explains that 'items' is a list of objects, adding marginal value. Baseline score of 3 is appropriate since the schema already does the heavy lifting.

Input schemas describe structure but not intent. Descriptions should explain non-obvious parameter relationships and valid value ranges.

Purpose5/5

Does the description clearly state what the tool does and how it differs from similar tools?

The description clearly states it asynchronously creates workflow instances for project-level items, specifies the endpoint and required parameters, and distinguishes from the sibling tool 'bulk_create_workflow_instances_company_public' via the title and context.

Agents choose between tools based on descriptions. A clear purpose with a specific verb and resource helps agents select the right tool.

Usage Guidelines4/5

Does the description explain when to use this tool, when not to, or what alternatives exist?

The description provides clear context for use (creating many records in one request) and mentions the async operation for status checking. However, it does not explicitly state when not to use or list alternative tools, though the sibling list suggests a company-level variant exists.

Agents often have multiple tools that could apply. Explicit usage guidance like "use X instead of Y when Z" prevents misuse.
