# Google Contacts Sync Optimization - Implementation Report
**Date**: 2025-10-16
**Status**: ✅ Complete
**Version**: Implemented in web app and backend service
## Problem Summary
User reported three critical issues with Google Contacts sync:
1. **Batch size limitation**: Minimum was 50 contacts, user needed smaller batches (25)
2. **Logging not visible**: console.log statements not appearing in PM2 production logs
3. **Timeout issues**: 5-minute timeout still occurring on large batches
## Changes Implemented
### 1. Added Smaller Batch Size Option (25 contacts)
**File**: `web/components/google/google-contacts-sync.tsx`
**Changes**:
- Added batch size option for 25 contacts (labeled "Slowest, safest")
- Changed default batch size from 100 to 50 for safety
- Updated UI to show recommendations for each batch size
- Updated help text to reflect new range (25-100 recommended)
```typescript
// Before
const [batchSize, setBatchSize] = useState(100);
<option value={50}>50</option>
<option value={100}>100</option>
// After
const [batchSize, setBatchSize] = useState(50); // Default to 50 for safety
<option value={25}>25 (Slowest, safest)</option>
<option value={50}>50 (Recommended)</option>
<option value={100}>100 (Faster)</option>
<option value={150}>150 (Fast)</option>
```
### 2. Fixed Logging for PM2 Visibility
**Problem**: `console.log()` and `console.error()` statements were not appearing in PM2 logs in production mode.
**Solution**: Replaced all console.log/error with `process.stderr.write()` which is always visible in PM2.
**Files Modified**:
- `src/services/google-contacts-sync.ts` (all logging statements)
- `web/app/api/google/contacts/sync/route.ts` (all logging statements)
**Why stderr?**
- PM2 captures stderr output reliably
- Next.js production mode may suppress console.log
- stderr is standard for diagnostic/debugging output
- Appears in both PM2 logs and direct terminal output
**Example**:
```typescript
// Before
console.log('[GoogleContactsSync Service] Starting sync...', { options });
console.error('[GoogleContactsSync Service] Sync failed:', error);
// After
process.stderr.write(`[GoogleContactsSync Service] Starting sync... ${JSON.stringify(options)}\n`);
process.stderr.write(`[GoogleContactsSync Service] Sync failed: ${error.message}\n`);
```
### 3. Dynamic Timeout Proportional to Batch Size
**File**: `web/components/google/google-contacts-sync.tsx` (frontend)
**File**: `web/app/api/google/contacts/sync/route.ts` (backend API)
**Changes**:
- Frontend: Added AbortController with dynamic timeout per batch
- Backend: Changed from fixed 5-minute timeout to dynamic calculation
- Timeout formula: `(batchSize * 2000ms) + 60000ms` (2s per contact + 1min buffer)
**Frontend Implementation**:
```typescript
// Calculate timeout based on batch size (2s per contact + 1min buffer)
const timeoutMs = batchSize * 2000 + 60000;
const controller = new AbortController();
const timeoutId = setTimeout(() => controller.abort(), timeoutMs);
try {
const response = await fetch('/api/google/contacts/sync', {
method: 'POST',
body: JSON.stringify(requestBody),
signal: controller.signal, // Pass abort signal
});
clearTimeout(timeoutId);
// ... handle response
} catch (fetchError) {
// Handle timeout or other errors
}
```
**Backend Implementation**:
```typescript
// Before: Fixed 5-minute timeout
const SYNC_TIMEOUT_MS = 300000;
// After: Dynamic timeout based on batch size
const SYNC_TIMEOUT_MS = (pageSize || 100) * 2000 + 60000;
```
**Timeout Examples**:
- 25 contacts: 110 seconds (1m 50s)
- 50 contacts: 160 seconds (2m 40s)
- 100 contacts: 260 seconds (4m 20s)
- 150 contacts: 360 seconds (6m 0s)
### 4. Improved Error Handling
**Changes**:
- Wrapped batch fetch in try-catch block
- Better error messages mentioning current batch size
- Graceful handling of abort/timeout errors
- Clear error propagation to UI
**Example**:
```typescript
} catch (fetchError) {
console.error(`Batch ${batchNumber} fetch error`, {
error: fetchError instanceof Error ? fetchError.message : String(fetchError),
});
allErrors.push(fetchError instanceof Error ? fetchError.message : 'Batch fetch failed');
break; // Stop batch processing on error
}
```
## Testing Instructions
### Test 1: Verify Batch Size 25 Works
1. **Start web server in staging mode**:
```bash
cd /Users/masa/Projects/mcp-memory-ts
./START_WEB_SERVER.sh
```
2. **Open browser**: http://localhost:3002/utilities
3. **Configure sync**:
- Select "Import" direction
- Enable "Batch Mode"
- Select "25 (Slowest, safest)" batch size
- Enable "Dry Run Mode" for testing
- Click "Start Batch Sync"
4. **Verify**:
- UI shows progress updates
- Each batch processes ~25 contacts
- No timeout errors
- Completes successfully
### Test 2: Verify Logging Appears in PM2
1. **Build and deploy with PM2**:
```bash
cd /Users/masa/Projects/mcp-memory-ts/web
npm run build
cd ..
pm2 restart mcp-memory-web
```
2. **Watch PM2 logs in real-time**:
```bash
pm2 logs mcp-memory-web --lines 100
```
3. **Trigger a sync** (via web UI on http://localhost:3001/utilities)
4. **Verify logs show**:
```
[GoogleContactsSync API][req-xxxxx] ===== REQUEST STARTED =====
[GoogleContactsSync Service][sync-xxxxx] ===== SYNC SERVICE STARTED =====
[GoogleContactsSync Service] Importing from Google Contacts...
[GoogleContactsSync Service] User found: user_xxxxx
[GoogleContactsSync Service] Sync mode: incremental, batch/paginated
[GoogleContactsSync Service] API call completed (1234ms): {"success":true,"contactCount":25}
[GoogleContactsSync Service] Fetched 25 contacts from Google
[GoogleContactsSync Service] Match results: 20 matched, 5 new, 0 unmatched MCP
[GoogleContactsSync Service] Batch complete: 5 imported, 20 updated, hasMore: true
[GoogleContactsSync Service][sync-xxxxx] ===== SYNC SERVICE COMPLETED (5678ms) =====
[GoogleContactsSync API][req-xxxxx] ===== REQUEST COMPLETED (5678ms) =====
```
5. **Check for errors**:
```bash
pm2 logs mcp-memory-web --err --lines 50
```
### Test 3: Verify Timeout Scaling
1. **Test with batch size 25** (110s timeout):
- Should complete within 2 minutes
- No timeout errors
2. **Test with batch size 50** (160s timeout):
- Should complete within 3 minutes
- No timeout errors
3. **Test with batch size 100** (260s timeout):
- Should complete within 5 minutes
- No timeout errors
4. **If timeout occurs**, error message will now say:
```
"Sync operation timed out. Try using a smaller batch size (currently 100)."
```
### Test 4: Performance Comparison
**Expected Performance** (approximate):
| Batch Size | Timeout | Expected Duration | Safety Level |
|------------|---------|-------------------|--------------|
| 25 | 1m 50s | 45-90s | Safest |
| 50 | 2m 40s | 60-120s | Recommended |
| 100 | 4m 20s | 90-180s | Faster |
| 150 | 6m 0s | 120-240s | Fast |
**Factors affecting duration**:
- Network latency
- Google API response time
- LLM deduplication (if enabled)
- Database operations
- Contact complexity

## Performance Metrics to Monitor
### Key Metrics
1. **Sync Duration**: Should be proportional to batch size
2. **Timeout Rate**: Should be near 0% with new dynamic timeouts
3. **Error Rate**: Should not increase
4. **Memory Usage**: Should remain stable with smaller batches
5. **CPU Usage**: May slightly increase with more frequent batches
### PM2 Monitoring Commands
```bash
# Real-time logs
pm2 logs mcp-memory-web
# CPU and Memory
pm2 monit
# Restart history
pm2 list
# Error logs only
pm2 logs mcp-memory-web --err
# Last 200 lines
pm2 logs mcp-memory-web --lines 200
```
## Known Limitations
1. **Minimum batch size**: 25 (cannot go lower without API rate limiting risks)
2. **Maximum batch size**: 150 (higher risks timeout on slow networks)
3. **Logging overhead**: stderr logging slightly increases output size
4. **Timeout accuracy**: ±10% due to network variability
## Future Improvements
1. **Auto-adjust batch size**: Based on network performance
2. **Progress persistence**: Resume interrupted syncs
3. **Parallel batch processing**: Process multiple batches concurrently
4. **Adaptive timeout**: Learn from historical performance
5. **Compression**: Reduce network payload size
6. **Caching**: Cache frequent contact lookups
