Acumatica: Release AP bill

acumatica_release_ap_bill

Acumatica: Release a bill so it becomes Open and posts to the ledger as your setup says. Runs Release on one AP bill. A bill On Hold cannot be released, so set remove_hold to true to make it Balanced first. A released bill is Open and cannot be edited or deleted; it is corrected by a reversal. By default you confirm each call; you can switch that off for this tool. Reaches other people: confirm with the user before each call. Needs the user's Cotlet API key with access to this app.

A4.5/5.0
Behavior5/5

Does the description disclose side effects, auth requirements, rate limits, or destructive behavior?

Adds substantial behavior beyond the annotations: the bill becomes Open and posts to the ledger, a released bill cannot be edited or deleted and is corrected only by reversal, and it requires a Cotlet API key with app access. Confirmation behavior (default confirm, can be switched off) is also disclosed, well beyond the readOnly/destructive/openWorld hints.

Agents need to know what a tool does to the world before calling it. Descriptions should go beyond structured annotations to explain consequences.

Conciseness4/5

Is the description appropriately sized, front-loaded, and free of redundancy?

Core action and effect are front-loaded in the first sentence. The two trailing confirmation sentences are somewhat redundant ('you confirm each call' vs 'confirm with the user before each call'), but the rest earns its place.

Shorter descriptions cost fewer tokens and are easier for agents to parse. Every sentence should earn its place.

Completeness4/5

Given the tool's complexity, does the description cover enough for an agent to succeed on first attempt?

For a mutation tool with no output schema, it conveys the resulting document state (Open), irreversibility, and prerequisites, which is what an agent needs to invoke it correctly. It does not describe the raw response shape, though the state description largely covers that gap.

Complex tools with many parameters or behaviors need more documentation. Simple tools need less. This dimension scales expectations accordingly.

Parameters4/5

Does the description clarify parameter syntax, constraints, interactions, or defaults beyond what the schema provides?

Schema coverage is 100% so both parameters are documented, but the description adds real meaning: it explains that remove_hold makes an On Hold bill Balanced so release can proceed, clarifying intent beyond the schema's terse 'removes the hold before releasing.'

Input schemas describe structure but not intent. Descriptions should explain non-obvious parameter relationships and valid value ranges.

Purpose5/5

Does the description clearly state what the tool does and how it differs from similar tools?

States a specific verb (Release) and resource (AP bill), then explains the resulting state: the bill becomes Open and posts to the ledger. This clearly distinguishes it from siblings like acumatica_approve_bill_for_payment, acumatica_create_ap_bill, and acumatica_release_ar_invoice (different resource).

Agents choose between tools based on descriptions. A clear purpose with a specific verb and resource helps agents select the right tool.

Usage Guidelines4/5

Does the description explain when to use this tool, when not to, or what alternatives exist?

Gives a concrete precondition/condition: a bill On Hold cannot be released and requires remove_hold=true to become Balanced first. However, it does not explicitly name alternatives (e.g., approve_bill_for_payment) or state when not to use this tool, so it falls short of the 5-level routing guidance.

Agents often have multiple tools that could apply. Explicit usage guidance like "use X instead of Y when Z" prevents misuse.
